Rubicon Pharmacies, located in Regina, is currently accepting resumes for a full-time Administrative Assistant. The successful candidate will work 40hrs per week from Monday to Friday. There may be additional hours required depending on business need.

The successful candidate will provide support to our Operations and Executive teams. They will assist with schedule management, preparing reports, database management, etc. The successful candidate will also be responsible for the operations at Regina Head Office. This position will contain job variety and some travel will be required.

Applicants should possess superior communication and customer service skills, a strong work ethic, and blend well as part of a team. Education related to Business Administration is considered an asset.

JOB DESCRIPTION: ADMINISTRATIVE ASSISTANT

OBJECTIVE: The Executive Assistant enhances the effectiveness of the Executive and operations team by providing direct support related to information and schedule management, and representing the executive to others. This position will also manage the operations of the Regina Head Office.

RESPONSIBILITIES:

  • Conducts basic administrative tasks, such as fielding calls, photocopying, mailing, filing, and word processing.
  • Prepare correspondence, reports, presentations as required.
  • Schedule and attend meetings, prepare agenda and complete minutes as necessary.
  • Manage the schedule of the executive as required, including arranging travel and accommodation.
  • Research, compile and analyze data as required.
  • Manage expense reporting and invoice processing.
  • Coordinate implementation of company administrative policies, or upcoming project implementations
  • Meet or liaise with individuals or groups inside or outside of the company on behalf of the executive as needed.
  • Database management, entry and updates.
  • Maintains customer confidence and protects operations by keeping information confidential
  • Manages the operations of the Regina office, including but not limited to arranging for mail and delivery services, maintaining office supply levels, managing sanitation contracts, coordinating completion of office equipment preventative maintenance and repair.
  • Performs other duties as assigned. 

QUALIFICATIONS AND PERSONAL REQUIREMENTS:

  • Diploma in Business Administration
  • Two (2) + years of experience in an Executive Assistant or Administrative Assistant role
  • Proficient in Microsoft Excel and Microsoft Word
  • Must possess a valid driver’s licence.
